Coaches for Conferences, Incentives and Company Days
A company event is a string of short moves on a fixed timetable: airport to hotel, hotel to venue, venue to dinner and back. The coach is hired whole, with its driver, so your plan shapes the day.
Send a movement list, not just a headcount
Write down every leg with a time and an address: arrivals, hotel pick-ups, the venue, the dinner and the return. Give the number of people for each leg, because it rarely stays the same all day. A morning plenary for 120 may need three coaches; the dinner run for 40 needs one.
Group coach hire in Spain is discretionary transport, contracted for the whole vehicle rather than seat by seat, so match the size to each leg.

The big venues sit on the airport side
Several of the main venues lie between the city and its airport. IFEMA MADRID is at Campo de las Naciones, close to Barajas. Fira de Barcelona Gran Via is in L'Hospitalet, towards El Prat. FIBES in Sevilla Este, FYCMA in Málaga and Feria Valencia in Benimàmet are also on the airport side of town, so an arrival-day transfer can often go straight to registration.
Central hotels are harder. Madrid lets only coaches labelled 0, ECO or C into Distrito Centro, and only to serve a place inside it. Barcelona asks every vehicle of nine seats or more for a Zona Bus permit before it uses a coach space. These are the current rules, and the operator checks them before travel.
Rules the group organiser needs
- EU drivers' hours (Regulation (EC) No 561/2006): at most 9 hours of driving a day, extendable to 10 hours twice a week
- Daily rest is at least 11 hours, which may be reduced to 9 hours up to three times between weekly rests
Early starts and gala nights
Driving is capped at 9 hours a day, or 10 on two days a week, and the driver needs at least 11 hours of rest before the next duty, cut to 9 no more than three times between weekly rests. A gala dinner ending at 01:00 and a 07:30 pick-up next morning do not fit one driver. Give the operator the first and last times of each day, so a second driver or vehicle can be planned.
What organisers ask us
Can one coach loop between the hotel and the venue all day?
Yes. Give the loop times, the stops and the gaps between runs; the driver takes the legal breaks between loops.
Can a coach from France or Portugal drive into central Barcelona?
Only once it is listed in the AMB register of foreign vehicles, which can take up to 15 working days.
Can executives travel separately from the main group?
Yes. Add a car with driver to the same request: it takes one to three people, or a van-type car up to eight, on a pre-booked service.
