From Trip Plan to Coach at the Kerb

Booking a coach takes four steps. Most of the work is in the first one: the more precise the plan, the more precise the quote.

1. Send the plan

Give the headcount, the dates, each pickup address and the stops in order, with any fixed times: a flight, a Nasrid Palaces entry, a kick-off, a ceremony. Say how much luggage there is, whether anyone uses a wheelchair, and whether most passengers are under 16, because school transport has its own rules. For an airport pickup add the flight number and, at Madrid or Barcelona, the terminal.

2. The operator works it out

A partner operator suited to the route checks what the day involves. Can this coach enter the low-emission zone in each city on the route? Where can it stop near each sight? Does the day fit within the driver's hours, or does it need a second driver or an overnight stop? On a long day the EU limits decide: 9 hours of driving, a 45-minute break after 4.5 hours, and at least 11 hours' rest before the next morning.

3. Read the quote, then accept

The quote names the vehicle type, the number of seats and the operator's cancellation terms. Check it against your plan; nothing is booked until you accept. For a school trip, ask the operator for its transport authorisation, the vehicle's ITV inspection card and its civil liability insurance, as Real Decreto 443/2001 expects.

4. On the day

The meeting point is agreed in advance. That matters most at airports where Aena publishes no coach pickup place, such as Malaga or Valencia. Before setting off, the driver, the guide or the group leader reminds passengers that belts must be worn wherever fitted.

If the plan changes

Tell us as soon as it does. A new stop, an extra hour or a different date goes back to the operator, and you receive a revised quote to accept before anything changes.

How far ahead should we book?

As soon as the dates are fixed, especially in spring, when the Fallas, Holy Week and the April Fair fall close together. In Barcelona, a Zona Bus stop at Sagrada Família or Park Güell can be reserved from one month before the visit.

Can we add a stop after booking?

Yes. Send the change. It is costed again, and the revised quote waits for your acceptance.

Who is in charge on the day?

The driver runs the trip for the operator. Questions about the booking itself still come to us.
